Author Guidelines

All submissions must be written in English. American and British English are both acceptable; please use one consistently. Your work should fit the conference Themes & Topics.

From Submission to Presentation

  1. Submit your abstract

    with a full paper if you already have one.

  2. Peer review

    double-blind, with a decision within 7–14 business days.

  3. Decision by email

    acceptance, a request for revisions, or rejection.

  4. Register

    if accepted, complete your registration to confirm your presentation.

  5. Present

    in person or live online.

A full paper for the proceedings can be sent up to 18 July 2027, three weeks after the conference. If reviewers request revisions, follow the deadline given in their email.

Abstract Requirements

Length:
150–250 words for the body of the abstract.
Keywords:
three to five keywords, separated by commas.
Content:
state the research aim, method or approach, and main findings or argument.
Format:
a single paragraph, without citations or references.
Style:
clear language accessible to an interdisciplinary audience; explain specialist and clinical terms.
Language:
English.

Accepted and registered abstracts are published in the conference Abstract Book. Your presentation is confirmed once your registration fee has been received.

Full Paper Requirements

A full paper is optional. It is needed only if you wish your work to be considered for the conference proceedings. Papers must be original, unpublished and not under review elsewhere.

Length:
maximum 35 pages or 10,000 words, including references and appendices.
Structure:
abstract (150–250 words); introduction stating the purpose; methodology; findings; discussion and conclusion; references.
Font and spacing:
a standard font such as Times New Roman, 12 pt, single spacing, justified text.
Margins:
2.54 cm top and bottom; 3.18 cm left and right.
Layout:
one column, portrait, with page numbers centred at the bottom.
Referencing:
APA 7th edition, or another recognised style applied consistently.
File:
File formats — to confirm, maximum Maximum file size — to confirm.

The abstract can be submitted now and the full paper uploaded later, before the proceedings deadline. For an existing submission, use the update link in your confirmation email; do not submit it again as a new paper.

Review and Research Ethics

  • Every submission receives double-blind peer review.

  • Submissions must be original and are screened with iThenticate.

  • All co-authors must approve the submission.

  • Research involving human participants must have appropriate ethical approval and informed consent.

  • Presentation type: for in-person submissions, the Scientific Committee may assign Oral or Poster presentation based on the review. A Virtual selection remains Virtual.

Authors keep full copyright of their work. Accepted work is published open access under the Creative Commons Attribution 4.0 International licence (CC BY 4.0), which allows others to share and adapt the work with appropriate credit. Accepting this agreement is a required checkbox on the submission form.

Preparing Your Presentation

Oral and virtual presentations: a standard allocation of 15 minutes. Your exact slot and Q&A arrangements will be included in your presenter instructions.

Posters: A1 (594 × 841 mm), Orientation — to confirm, printed by the presenter and brought to the venue.

Virtual: presented live online; joining details are emailed to registered presenters.

Use of Generative AI

For manuscript writing, generative AI may be used only to improve the language and readability of your own text. If you use it, you must disclose the tool, what it was used for and that the authors checked the output. Authors remain fully responsible for the content.

  • Basic checks of spelling, grammar, punctuation or reference formatting do not need to be disclosed.

  • Abstract-only submissions: use the separate AI-use declaration in the submission form. It does not count towards your abstract word limit.

  • Full papers: complete the form declaration and include the same statement in your paper immediately before the References.

  • AI used in your research: describe it in your methodology. For an abstract-only submission, describe it in the abstract's methods wording.

  • Revised or later material follows the same policy. Use the update instructions in your confirmation email.
