Submission & Registration

Do I need a full paper to present?

No. An abstract is enough for review and presentation. A full paper is needed only if you wish to be considered for the proceedings.

How long does the review take?

You will receive the decision by email within 7–14 business days of submission.

How do I revise my submission or send my full paper later?

Use Update an Existing Submission and quote your original submission ID and email. If reviewers requested revisions, follow the deadline in their email. For a change you initiate yourself, check the update window shown on the page. Later full papers follow the separate full-paper deadline. Sending an update does not mean it has been accepted or applied; wait for our team's confirmation. Please do not submit the same paper again as a new submission.

Can I attend without presenting?

Yes. Register as a Listener to attend in London without submitting a paper.

Can I register someone else, or several people?

Yes. Choose Someone else in the registration form. One registration covers one presenter with co-authors attending, or one listener with additional listeners. Independent presenters, virtual presenters and mixed groups each need a separate registration.

Which co-authors need to pay?

Only co-authors who attend in person pay, at the co-author fee, and each receives their own badge and certificate. Co-authors who do not attend pay nothing.

How are additional listeners charged?

Each additional listener pays the listener fee.

How do I correct my registration details or request a missing document?

Contact the conference team with the attendee's name, registration email and order/registration reference if available. Tell us which detail needs correcting or which document is missing. If someone registered on your behalf, identify the attendee separately from the booking contact. Please do not register or pay again to request a correction or another copy.

Can I use AI when preparing my submission?

For manuscript writing, generative AI may be used only to improve the language and readability of your own text. Disclose the tool, what it was used for and that the authors reviewed the output. Basic spelling, grammar, punctuation and reference-formatting checks do not need disclosure. AI cannot be listed as an author or replace original research. If AI is part of your research method, describe it in the methodology. For abstract-only submissions, use the separate disclosure field in the form, which does not count towards the word limit; full papers also include the statement immediately before the References.

Payment & Discounts

What payment methods are accepted?

Debit or credit card via PayPal, PayPal, and bank wire transfer with receipt upload.

Can my university receive a pro forma invoice before paying?

Yes. Use Request a Pro Forma Invoice and provide your institution's billing details, the attendee names and the registration required. Our team will check the fees and email the invoice. After your institution pays, complete the normal registration form and upload the transfer receipt. Requesting or receiving the invoice does not complete registration or reserve a place. Please check the invoice's validity date before arranging payment.

How is a bank transfer processed?

Upload your transfer receipt in the registration form. Your registration is confirmed once our team matches the payment, within 3–5 business days.

Can I pay on site?

No. Registration must be paid in advance.

What is the cancellation policy?

CANCELLATION POLICY — In case of any cancellation or non-attendance, unfortunately the registration fees are not refundable.

Terms & Conditions

Can someone else attend in my place?

A registered participant may be replaced by a colleague at no additional charge if we are notified in writing before the final registration deadline.

Conference Information

When will I receive the programme?

The programme is prepared based on accepted and registered presentations. Registered participants will receive it by email when ready.

How should I prepare for my presentation?

Oral and virtual presentations normally allow 15 minutes; your exact slot and Q&A arrangements are sent to presenters. Poster presenters bring a printed A1 poster. See the preparation guidance for Oral, Poster and Virtual presentations.

How do virtual presentations work?

You present live online. Registered virtual presenters receive their session time and private joining details by email.

Can I switch from in-person to virtual participation?

Contact us before the conference. Under the Terms & Conditions, a switch to virtual participation carries no additional charge when we are notified before the event; we will confirm the change by email.

Do I need an invitation letter?

If your visa application or institution requires one, request it after registering and paying.

Invitation Letter

Where do I provide my passport details?

Only on the Invitation Letter request form, after registration and payment. The registration form does not ask for passport details. Passport information is used only to produce the letter.

Can I be listed on the Speakers page?

Yes, if you are presenting. Tick the speaker listing option when you register and, if you wish, upload a photo. Your name, institution, country, paper title and presentation type appear once your paper is accepted and your payment is confirmed. To change or remove your listing, contact us.

Post-Conference & Publication

What certificates will I receive?

Registered participants receive a certificate of participation, and presenters also receive a certificate of presentation, each in the attendee's own name. Certificates are sent by email Certificate timing — to confirm.

When is the full-paper deadline?

18 July 2027, 23:59 BST. Authors who have already submitted an abstract use the update process described above.

Will my paper be published?

Accepted and registered abstracts are published in the ISBN Abstract Book. Full papers that pass double-blind review are published in the proceedings with ISSN and DOI.
